How We Work
Are you paying for a property factoring service? Then it’s only natural you want a say in who looks after your common areas so they’re maintained to the best possible standard at the best possible cost, and with minimum hassle.
That’s why we give you choice and control over the upkeep of your common areas and shared amenities.
You decide maintenance works for the year then we build your annual programme around those and put contracts out to tender.
We guide and advise as much as needed to make best use of your budget and keep common areas in great shape. But the final decision is always in your hands.
Great Service, Fair Price
With us, there are no hidden extras – our pricing structure is hard to beat.
The fee we agree at the start is what you pay for the duration of your contract – there are no starter prices to get you on-board, only to hike them up further down the line.
We’re completely transparent with our pricing. All charges are agreed before works start, so you always know exactly what you’re paying for and there will never be any surprises on your bill.
No two sites are the same and there is no standard package; we tailor what we provide to suit each community. Unless it’s an emergency, we will never carry out works without your prior consent. You are always in charge of what goes on at your property.
Also, being not-for-profit, if there’s any monies left over after work has been completed then this is given back to you. Always. That’s a promise.

You’re in Charge, It’s Your Choice
We are flexible so that if you decide you want to take over an aspect of running your property, or you’d like us to take on something extra, you collectively let us know and we will arrange it.
We work hard to ensure that you’re 100% satisfied with our factoring service. However, if in the unlikely event that we don’t live up to expectations then, after the agreed notice period, you can leave at any time to choose another property manager.
So we continually work hard to ensure you get the service you want. To confirm that you’re happy with our services, we make it a condition that you have to elect us as your property factor each year.
This ensures we don’t get complacent – we keep listening to what you say and delivering the service you want. It’s also why over 95% of the residents’ associations we work with re-elect us each year.
Our Focus is On You
We meet you on-site at least twice a year to get your feedback on what we’ve been doing for you. We also check what you’d like us to do in the months ahead. If there’s anything you want us to do differently, tell us.
Local Works
We encourage the use of experienced local contractors whenever possible. This helps keep down costs for you and reduces the carbon footprint. What’s more, local tradesmen can be on-site in no time to carry out any emergency repairs.
From grass cutting to landscaping to routine or major building maintenance, you can suggest the people you’d like on the job or we’ll find the right contractors for you.
And, just so we know everything is just as it should be, we carry out regular site inspections. This enables us to check that the contractors have done a satisfactory job and also check if anything else at your property needs attention.
It also gives you the opportunity to have a chat with us if you want to say hello.

Fault Reporting
Ethical Maintenance is here to help owners maintain their property to the best possible standard with the minimum fuss. You decide how often you’d like us to visit to check how work is going and look out for any common areas that may need repair.
In-between visits, if an owner notices something is wrong then we have an app called Fixflo, so the fault can be reported to us immediately; all owners have access to this app. Fixflo means that all faults can be reported to us at any time. We have a supply of emergency contractors who are available 24/7 to repair anything critical.
If an emergency repair is required then we have a 24/7 helpline and a supply of contractors who are available to carry our repairs immediately. If an emergency occurs, then owners telephone us and we will arrange a speedy call out to sort the situation.
When an owner becomes aware of an issue in a shared area that’s not an emergency, the owner takes photographs of the fault and sends them to us via our app, Fixflo. We will register the fault, and all owners at that property will be able to see that there is an issue and what it is.
Ethical Maintenance will then send out contracts to potential contractors, inviting them to submit bids to do the repair via Fixflo. When necessary, Ethical Maintenance will meet on site with a contractor. The contractor can then inspect the fault more fully and submit a more detailed bid.
